These Terms & Conditions (“Terms”) govern your use of the Hidden Harbor Homeowners Association (“Hidden Harbor HOA,” “we,” “our,” or “us”) pool access system, including the resident check-in tool, guest registration, payment processing, and text message notifications. By using our pool access system, you agree to these Terms.
1. Pool Access
Access to the Hidden Harbor community pool is limited to residents in good standing and their authorized guests. Good standing is determined by your HOA account balance as reflected in our billing system. Residents whose account balance exceeds the threshold set by the HOA Board may be denied pool access until their balance is resolved.
2. Resident Identification
To verify identity at the pool gate, residents may be asked to have their photo taken by pool staff. Photos are stored securely and used solely for the purpose of confirming resident identity during pool check-in. Photos are refreshed annually at the start of each pool season.
3. Guest Policy
Residents may bring up to 10 guests per visit. A guest fee of $3.50 per guest applies and must be paid at the time of check-in via credit/debit card (processed through Stripe) or cash. Residents are responsible for the conduct of their guests while at the pool facility.
4. Payments
Guest fees may be paid by credit or debit card through our secure payment processor, Stripe. Card payments are processed via Stripe Checkout and are subject to Stripe’s terms of service. Cash payments are accepted on-site and recorded by pool staff. All payments are final. If your HOA account is past due, you may be provided a link to pay your outstanding balance directly through our billing system.
5. Text Message (SMS) Terms
By providing your mobile phone number during pool check-in, you consent to receive text messages from Hidden Harbor HOA related to pool access services. These messages may include:
- Guest fee payment links
- HOA balance payment links
- Pool access notifications
Message frequency: Messages are sent only during pool check-in interactions. You will typically receive no more than 1–3 messages per pool visit, and only when a payment or notification is required.
Opt-out: You may opt out of text messages at any time by replying STOP to any message you receive from us. After opting out, you will no longer receive text messages from Hidden Harbor HOA. You may opt back in by notifying pool staff or the HOA office.

Message and data rates may apply. Your mobile carrier’s standard messaging and data rates apply to any messages sent or received. Hidden Harbor HOA is not responsible for any charges from your carrier.
Carriers supported: Service is available on all major U.S. mobile carriers. Carriers are not liable for delayed or undelivered messages.
No mobile information sharing: We will not sell, rent, or share your mobile phone number or any information collected through our SMS program with third parties for their marketing purposes. Information shared via the SMS program will only be used as described in our Privacy Policy.
6. Data Collection and Privacy
Your use of the pool access system is also governed by our Privacy Policy, which describes how we collect, use, store, and protect your personal information including photos, phone numbers, and payment data.
7. Changes to These Terms
We may update these Terms from time to time. Any changes will be posted on this page with an updated effective date. Continued use of the pool access system after changes are posted constitutes acceptance of the revised Terms.
